HOVON - privacy statement - version date: 18MAY2018
In this online privacy statement we indicate what information we collect, how we use it and protect it.
1. Collection of personal data
HOVON collects personal data from the people with whom we collaborate in the rollout and export of HOVON trials. We record the following:
• Name of organization that person works for
• Department name
• Post & visiting address
• Phone number(s)
• Fax number
• E-mail address
• Website (if applicable)
• Why login is necessary
• For which environment login is requested (HOVON website, TOP or both)
• Preference login details.
2. Use of your personal data
Your personal data will not be used for purposes other than providing information about HOVON trials. HOVON, as (Co-) Sponsor of Investigator Initiated Trials (IITs), must comply with legal obligations such as WMO and the GCP guidelines. Because of this law, we are obliged in some cases (depending on your function within the HOVON trial(s)) to keep your data for at least 15 years after the end of the HOVON trial (s) you were involved in.
If you send us a Curriculum Vitae (CV) for trial purposes we will keep it in accordance with applicable laws and regulations (a CV or other statement of qualifications is necessary to show the education, training, and experience that qualifies an investigator/independent physician as an expert in the clinical investigation of the drug for the use under investigation). If you send us a CV to apply for a vacancy, we will use the information you have provided to us to determine whether there are suitable grounds for inviting you to an interview. HOVON will only use the personal data necessary to be able to meet the demand / legal requirements.
HOVON does not collect special personal data from the contact persons with whom we work together.
If you use the HOVON website, we do not record your IP address (an IP address is assigned to your computer when you access the internet) and we do not collect cookies (a "cookie" is a small piece of text that a website places in the browser, this allows your device to be recognized. The website can react differently based on the installed cookie (s)).
If you want to know how to enter data in our database base, you can submit a request via email@example.com. If you see that the personal data contains inaccuracies, you can request that they be corrected (also send a message to firstname.lastname@example.org in these cases). We will use all reasonable efforts to comply with your request as long as this is in accordance with the applicable laws and regulations.
3. Protection of your personal data
HOVON has its own security procedures and policies to protect personal data against unauthorized loss, misuse, alteration or destruction. Despite these efforts, the integrity of the data cannot be absolutely guaranteed against all threats. We will restrict access to personal data to those who need your data on behalf of HOVON (people of the HOVON Data Center and people of the HOVON Central Bureau) to conduct trials in a correct manner. Access to this data will be removed as soon as an employee no longer works for HOVON.
Employees who have access to personal data are obliged to handle this data in a confidential manner. We also make every effort to ensure that your personal data is only retained for as long as required by law.
